1. Who we are
The EA Travels app (Android package com.embassyalliance.drivers) and the driver and guide web portals
at travel.embassyalliance.com are operated by Embassy Alliance Travel ("we", "us").
They are working tools for the drivers and guides who carry out passenger transfers and tours for us.
This policy explains in plain words what the app and the portals collect, why, who can see it and the
choices you have.
If you have any question about this policy, contact us at developer@embassyalliance.com.
2. Who this is for
The app and the portals are for the drivers and guides of Embassy Alliance Travel and of its partner companies. Your account is created by Embassy Alliance Travel or by the partner company you work for. Accounts cannot be created from inside the app, and the app is not intended for the general public or for anyone under 18.
3. Information we collect
What we collect depends on whether you are a driver or a guide.
Drivers and guides
- Your login name (username) and your password. Passwords are sent over an encrypted connection and are stored on our servers only in hashed (scrambled) form.
- Your name and other details held in your driver or guide record, including any profile details you update in the app.
- A sign-in token, kept in your device's encrypted secure storage so you stay signed in.
- The jobs assigned to you: the transfers and tours, with their date, time, places, number of people and the other details you need to do the job.
- A push notification token, so we can alert you when a job is given to you, changed or cancelled.
- Basic technical information that our servers receive when the app or a portal connects, such as your IP address, the time of the request and error information.
Drivers only
- The status of your trips and the time of each step: when you start a trip, arrive at the pickup, have the passenger on board and complete the trip.
- Proof photos you take with the camera (for example at arrival, passenger pickup and drop-off) and vehicle inspection videos. These are uploaded to our servers and linked to the transfer. Inspection videos may include sound recorded by your device's microphone.
- Operational notes that you write about a transfer.
Guides only
- The time you press "I have seen it" on a job, so the office knows you have seen it.
- Your own trips, if you add any: the date, the time, a description of the trip, the number of people (adults and children), the price you charged, who took the money (you or the company) and your notes. When the office marks the money as received, we record that and the time.
Passenger information shown to drivers and guides
To carry out a job, the app and the portals show you details provided by Embassy Alliance Travel or by the company that gave you the job, such as passenger or lead guest names, contact phone numbers, pickup and drop-off places, flight details, the number of people and special requests. You may use this information only to carry out that job.
The web portals
The driver and guide web portals show the same jobs as the app, and you sign in with the same login. They keep you signed in on your device with a cookie. Each portal can also give you a private calendar link, so you can add your jobs to your phone's calendar. The calendar events show the time and places of your jobs and the name of the passenger or lead guest. Anyone who has that link can see those events, so do not share it.
What we do not collect
The app does not collect your location, contacts or files other than the photos and videos you choose to capture. It contains no advertising and no third-party analytics or tracking tools.
4. Why we use information
- To sign you in and keep your account secure.
- To run the transport service: to give jobs to drivers and guides, follow their progress and send them notifications.
- To settle with the office the money a guide collected: to know which trips were paid to the guide, which were paid to the company and what the guide still has to hand over.
- To keep proof that a service was delivered and a record of vehicle condition.
- To provide support, resolve disputes or complaints, and meet our legal and accounting obligations.
5. App permissions
- Camera (drivers): to take proof photos and vehicle inspection videos.
- Microphone (drivers): to record sound with vehicle inspection videos.
- Notifications: to alert you about new or changed jobs.
- Storage (older Android versions only): to save a captured photo or video temporarily before it is uploaded.
You can turn these permissions off in your device settings, but the related features will then stop working.
6. Who sees your information
We do not sell personal information and we do not share it with advertisers. It is seen only by:
- The company that gave you the job, and the Embassy Alliance Travel operators who plan and manage the transfers and tours. They see the jobs assigned to you and their status, and the time you saw a job.
- The office of the company you work for, which sees your own trips and the price you charged so it can settle the money with you. This is Embassy Alliance Travel for its own guides, or your partner company for its guides.
- Only the people working on a job can see the passengers' details for that job.
- Service providers who work for us: the provider that hosts our servers, and Expo (650 Industries, Inc.) and Google Firebase Cloud Messaging, which deliver push notifications and receive your notification token and the notification content.
- Public authorities, when we are required to by law.
7. How we protect information
- All data between the app, the portals and our servers is encrypted in transit (HTTPS/TLS).
- Your sign-in token is stored in your device's encrypted secure storage.
- Access to driver, guide and job data on our systems is limited to authorised staff.
8. How long we keep information
We keep your information while your account is active, and afterwards only for as long as we need it for operations, accounting, legal and dispute-resolution purposes. Your own trips and the record of money handed to the office are kept for as long as they are needed for accounting. After that, we delete the information or make it anonymous.
9. Your choices and rights
You can ask us for a copy of your personal information, ask us to correct it, or ask us to delete your account and the personal information linked to it. Send your request to developer@embassyalliance.com from the email address or phone number registered with us. We will respond within 30 days. We may keep some records where the law requires it, for example trip records needed for accounting.
Guides can change or delete their own trips themselves, in the app or the portal, until the office has marked the money as received. After that, contact us.
10. Children
The app is not intended for anyone under 18, and we do not knowingly collect information from children.
11. Changes to this policy
If we change this policy, we will publish the new version on this page and update the "Last updated" date above.
